Clinic Voice Agent is an autonomous, natural-speech healthcare receptionist and appointment scheduling system. Engineered with Retell AI voice synthesis, n8n webhook middleware, Google Calendar real-time synchronization, and Gemini 2.0 Flash Lite, the agent seamlessly handles inbound patient calls 24/7—checking availability, offering alternate slots, reserving calendar bookings, and dispatching confirmation emails without human intervention.

1. Natural Speech Interaction & Patient Ingestion

Powered by Retell AI with ultra-low latency audio processing and empathetic conversational pacing (ElevenLabs Monika voice engine). The assistant answers incoming patient calls, actively listens to requested appointment times and medical reasons, confirms spelling of patient names, phone numbers, and emails, and triggers live custom tool calls.

2. n8n API Webhook & Middleware Architecture

Serves as the high-availability orchestrator routing Retell AI function calls to three dedicated endpoints: /availability (validates whether a specific time window is free), /availableSlots (scans the clinic calendar for the next 3 earliest openings across 7 days), and /booking (orchestrates final calendar reservation and downstream notifications).

3. Real-Time Google Calendar Synchronization

Direct OAuth2 integration with Google Calendar API prevents double-booking. The workflow parses inbound date strings, transforms timestamps dynamically using ISO normalization in JavaScript nodes, and returns JSON status payloads back to the voice agent in real-time so the patient receives conversational voice feedback in seconds.

4. Gemini 2.0 Flash Lite & Automated Gmail Dispatch

Upon confirmed booking, event metadata is routed through a Google Gemini 2.0 Flash Lite LangChain node. The AI crafts a polite, personalized appointment confirmation email featuring exact dates, times, timezones, medical visit details, and direct Google Calendar links, then delivers it to the patient's inbox via the Gmail API.
